This guide summarizes, from the Texas Comptroller's Agricultural and Timber Items page (checked 2026-10-21), how Nacogdoches, Texas farm, ranch and timber businesses apply for, look up and renew an Ag/Timber Number, what the exemption certificate is, and how the number fits an equipment purchase that a funding partner may finance. Tax questions go to the Comptroller or a tax professional.

Texas ag timber number application: a quick guide for owners
The Comptroller's Agricultural and Timber Items page says that purchasers must have a valid Ag/Timber Number issued by the Comptroller to claim exemption from Texas tax on qualifying items, and that without one, tax is paid to retailers. The page lists the business types that can qualify, including farming or ranching to raise agricultural products for sale, timber production including contract logging, commercial nurseries and several others, and it lists activities that do not qualify.
According to the same page, the application is made online through the Comptroller's eSystems/Webfile, and the Comptroller lists what to have ready:
- Basic business information, such as its name, description and address
- A Social Security number, or a national identification number and country of origin for applicants who apply by mail
- The Texas Secretary of State file number, if the business is registered with the Secretary of State
The page says the number is issued at the end of the online application and a confirmation letter follows by mail; a paper application by mail takes longer. Read the current page before applying, since the Comptroller can change its process.
Texas ag timber number lookup for business owners
Owners look up their number for three reasons: the courtesy card is lost, a dealer asks to confirm it, or the expiration date is needed for a certificate. The Comptroller's page explains how a holder can request a duplicate confirmation letter and courtesy card through eSystems, using the 11-digit taxpayer number. Use the Comptroller's own tools for any lookup; lists kept elsewhere can be out of date.
Keep the number, its expiration date and a copy of the confirmation letter in the same folder as equipment quotes and loan documents. A dealer preparing an invoice and a funding partner reading it both work from that paperwork.
Texas ag timber number renewal before you sign a lease
The Comptroller's page states that Ag/Timber Numbers must be renewed every four years, regardless of when the number was first issued, and that renewed and new numbers expire Dec. 31, 2027. The expiration date must be entered on the exemption certificate given to retailers, according to the same page.
Check the date before signing an equipment lease or a purchase contract. A dealer that cannot accept an expired number will charge tax, and the amount financed changes. In this invented example, a lease priced without tax that turns out to be taxable leaves the lessee with an unexpected bill at signing.
- Write the expiration date on the calendar the business uses for insurance and lease dates.
- Renew before a large purchase, not after.
- Confirm the dealer has the current certificate on file.
Texas ag timber number registration: where to look it up
Registration, renewal and duplicate cards all go through the Comptroller, not the county. The Comptroller's main page for the topic is comptroller.texas.gov/taxes/ag-timber. A business that also sells taxable goods may need a separate sales tax permit; the Comptroller's sales tax permit page covers that. Business entity records are at the Secretary of State's business services page.
Texas ag timber exemption form: what to check first
The Comptroller's page says the Ag/Timber Number goes on the agricultural exemption certificate or the timber exemption certificate when buying qualifying items, and that the courtesy cards do not replace a properly completed certificate. Before handing a certificate to a dealer, check that the number is active, the expiration date is filled in and the item is one you will use as the certificate describes.
The page also notes that a holder is responsible for proper use of the number and can be held liable for its misuse. That is a tax question for a tax professional, not for a funding partner.
How an Ag/Timber Number shows up in an equipment request from Nacogdoches County, TX
Illustration only, invented figures: a timber contractor buys a used skidder for $64,000. In this invented example, if sales tax at an invented 8.25% applied, it would add $5,280 (our arithmetic); if the purchase qualified for exemption, the invoice would show none. The financing quote should match whichever invoice the dealer issues, so settle the tax question with the dealer and your tax adviser before the request goes in.
Machines for farm and timber work are financed like other equipment; see equipment financing, or price a payment with the heavy equipment calculator. The farm equipment financing article compares dealer financing with outside partners. Other guides are on the guides page, county business figures on the city page, and the funding types on the comparison page.
